The compliance-native workflow for UK IFA firms
We make the evidence. You make the judgement.
Suitable builds your annual review agenda from the client's own file, keeps anything unapproved from reaching a client, and turns the meeting into an evidenced file — suitability letter drafted, every figure traced to its source.
Prepared before the meeting. Protected during it. Provable after it.
- FCA-native by design
- File-first, not recording-first
- Per-user pricing, no per-document fees
Built for IFA firms of one to four advisers.
Where time and risk press hardest together, and there is no compliance department to absorb either. Every person in the practice gets something different from the same workflow.
The owner-principal
“You'll stop writing up meetings at nine at night, and your files will stand up.”
Annual review agendas, meeting notes and suitability letters drafted from the client file, ready for your review when the meeting ends.
The paraplanner
“You'll never write another report from someone else's memory.”
Fact-find extraction with the source of every field recorded, and drafts written in your firm's house style and templates.
The compliance lead
“Every figure in every letter can be traced to where it came from, and nothing reaches a client unapproved.”
A role-gated approval workflow and an exportable audit pack for file reviews and Consumer Duty evidence.
The administrator
“Nothing is sitting somewhere you can't see it.”
Client documents, review status and sign-offs in one place, instead of spread across inboxes and shared drives.
The things advisers actually ask.
I'm a solo adviser. Isn't this overkill?
No — the solo adviser is exactly who it was built for. When you are a one-person compliance team, a proper audit trail is not overkill, it is the main thing. Suitable gives a single adviser the sign-off structure of a mid-size firm, and you scale by adding users rather than switching tools.
How is Suitable different from an AI note-taker?
An AI note-taker starts from the meeting recording and writes up what it heard. Suitable starts from the client file: it builds the review agenda from the fact-find and existing records before the meeting, then drafts notes and the suitability letter against that file afterwards. That is why every figure in a Suitable letter can be traced to where it came from, rather than to what somebody remembered saying.
Does Suitable help with annual reviews?
Yes — the annual review is where it starts. Before the meeting, Suitable builds the review agenda from the client's own file so nothing gets missed. After it, the meeting notes and review letter are drafted for your approval, with each figure linked back to its source and every change and sign-off recorded in the audit trail.
What if the AI drafts something wrong?
Every section of every letter records the source records behind it — the meeting, the fact-find fields, the questionnaire answers — and the approval workflow forces a human to see them before signing. The AI is a draftsman, not the adviser. Nothing reaches a client without an adviser approving it.
Will my client data leave the UK?
Some of it does, and we tell you exactly where. Client documents are stored in AWS London (eu-west-2). Speech-to-text is processed in the EEA. AI drafting runs on Anthropic's Claude in the United States, under Standard Contractual Clauses and the UK Addendum. We do not train foundation models on customer data. Every sub-processor, the country it processes in and the safeguard it relies on is named in our Data Processing Agreement, available on request.
How long is client data kept?
For as long as your firm's retention policy says. Suitable acts as the data processor, so the retention period is the adviser firm's decision rather than ours — we hold records for the period you configure and export them in an open format on request. Everything sits in an immutable audit log, so an amendment or deletion is itself recorded.
We already pay for Intelliflo. Why do I need this too?
Suitable sits alongside your CRM rather than replacing it. We import from Intelliflo today; writing structured records back is on the roadmap and is not shipped yet. The CRM stays your record of truth while Suitable handles the meeting-to-letter workflow a CRM is not built for. XPLAN, Plannr and Salesforce are also roadmap.
What does Suitable cost?
£349 per user per month plus VAT, billed monthly on a 12-month initial term. Every module is included — no per-document processing fees, no transcription charges and no separate compliance tier. After the first year it moves to month-to-month with 30 days' notice, and your data is exported in an open format within 14 days of leaving.
How long does it take to write a suitability letter with Suitable?
The draft is ready when the meeting ends. Advisers commonly describe spending around two hours writing a suitability report from scratch; with Suitable that becomes a review-and-approve step on a draft that already cites its own evidence, so the time you spend goes on judgement rather than transcription.
Is Suitable FCA approved?
No, and no software is — the FCA does not approve or certify vendor software, and compliance remains a property of your firm's own process. Suitable is FCA-native by design: approval gates, provenance on every claim and a complete audit trail are built into the workflow, so your process produces the evidence a file review asks for.
